Background Check Policy

Screening powered by Checkr, Inc. - a nationally accredited Consumer Reporting Agency (CRA).

1. Overview

Homefield requires all coaches to complete a background check before their profile is visible in the coach directory, and before they can post tryouts or open roster spots. This policy explains how that process works, what Homefield is responsible for, and what rights coaches have throughout the process.

Background screening on Homefield is powered by Checkr, Inc. ("Checkr"), a nationally accredited Consumer Reporting Agency (CRA) regulated under the Fair Credit Reporting Act (FCRA). Checkr handles the collection of candidate information, the screening itself, and delivery of results. Homefield does not conduct background checks independently.

2. Why We Require Background Checks

Youth sports connects coaches - often adults unknown to families - with children in practice, training, and game environments. Homefield's mission is to make that connection trustworthy. Background checks are how we establish a baseline of accountability before any coach is visible to families on the platform.

This is not a guarantee or endorsement. A cleared background check means no disqualifying records were found at the time of screening. It does not mean Homefield has independently verified a coach's qualifications, experience, or character beyond the screening results.

3. How the Process Works

Homefield uses Checkr's hosted invitation flow. Here's what happens step by step:

1. A coach creates a Homefield profile and reaches the background check step in their setup. 2. Homefield sends a screening invitation to the coach's email address via Checkr. 3. The coach clicks the link in that email and completes the process on Checkr's secure platform - entering their information and signing required disclosures and authorizations. 4. Checkr conducts the screening, which includes an SSN trace and criminal history search. 5. Checkr returns a result to Homefield: Clear or Consider. 6. Homefield updates the coach's verification status accordingly.

At no point does Homefield collect or store a coach's Social Security Number, date of birth, or any PII beyond what is provided during account registration (name and email). All sensitive information is handled exclusively by Checkr.

4. What Is Screened

The background check package used by Homefield includes, at minimum:

• SSN Trace - verifies identity and develops address history • National Criminal Records Search - searches national criminal databases • County Criminal Records Search - searches counties associated with the candidate's address history • Sex Offender Registry Search - checks national and state sex offender registries

Checkr applies applicable compliance filters based on the candidate's state of residence and federal law. Certain records may not be reportable depending on jurisdiction.

5. Results: Clear vs. Consider

Checkr returns one of two results:

Clear - No records were found that require review. The coach's profile is activated, the Verified badge is displayed, and they can appear in the coach directory, post tryouts, and post open roster spots.

Consider - One or more records were found that require Homefield's review. A Consider result does not automatically disqualify a coach. Homefield will conduct an individualized assessment of the nature of the record, how long ago it occurred, and its relevance to coaching youth athletes.

Homefield - not Checkr - makes the final determination on whether a coach with a Consider result is approved or denied. Checkr does not make hiring or approval decisions on our behalf.

6. Adverse Action Process

If Homefield decides not to approve a coach based on their background check result, we follow the two-step adverse action process required by the FCRA:

Pre-Adverse Action Notice - Before making a final decision, we will notify the coach that we are considering an adverse action, provide a copy of their background check report, and give them a reasonable amount of time (no fewer than five business days) to review and dispute any information they believe is inaccurate or incomplete.

Post-Adverse Action Notice - If we proceed with the decision after the dispute period, we will send a final notice informing the coach of the decision, the name and contact information of Checkr as the CRA, and a statement of the coach's right to dispute the accuracy or completeness of the report with Checkr directly.

Coaches are never denied solely based on a background check result without this process being followed.

7. Coach Rights Under the FCRA

As a consumer, coaches have the following rights under the Fair Credit Reporting Act:

• The right to know that a background check is being run, and to provide written authorization before it is initiated. • The right to receive a copy of your background check report if an adverse action is taken. • The right to dispute inaccurate or incomplete information in your report directly with Checkr. • The right to have inaccurate information corrected or removed from your report. • The right to add a statement to your report explaining your side of any disputed information.

8. Data Handling and Retention

Background check results (Clear, Consider, or Suspended) are stored in Homefield's database as a status field associated with a coach's account. Raw report data - including specific records, criminal details, or screening components - is not stored by Homefield. That data lives with Checkr and is accessible to the coach through their Checkr candidate portal.

Homefield retains verification status for as long as the coach's account is active. If a coach deletes their account, their verification status is deleted along with it. Background checks are not transferable between accounts or platforms.

9. Re-Screening

Background checks are a point-in-time snapshot. A cleared result does not guarantee a coach's record remains clear indefinitely. Homefield reserves the right to require re-screening at any time, including on a periodic basis, as the platform grows. Coaches will be notified in advance of any re-screening requirement.

10. Homefield's Responsibilities

Homefield is responsible for:

• Initiating background check invitations through Checkr's authorized API • Making approval or denial decisions on coaches based on results • Following the FCRA adverse action process for any denial • Maintaining the security of coach verification status in our database • Notifying coaches of their verification status via email

Homefield is not responsible for the accuracy of background check data, which is sourced from third-party databases by Checkr. We are also not a law firm and cannot provide legal advice regarding background check results or your rights. For legal guidance, consult a licensed attorney.
